Terms & Conditions

By booking a trip with Ice Cap Adventure, you agree to the following Terms & Conditions. Please read carefully before making a reservation.


1. Booking & Payments

  • A deposit is required at the time of booking to confirm your reservation.

  • The remaining balance must be paid before the trip departure (unless otherwise agreed).

  • Payments can be made via bank transfer, credit card, or other secure methods provided by us.


2. Cancellations & Refunds

  • Cancellation requests must be sent in writing (email is acceptable).

  • Refunds depend on the time of cancellation:

    • 60 days or more before departure: Full refund (minus transaction fees).

    • 30–59 days before departure: 50% refund of the trip cost.

    • Less than 30 days: No refund.

  • No refunds will be made for unused services or early trip termination.


3. Travel Insurance

  • All clients must have comprehensive travel insurance covering medical emergencies, trip cancellations, accidents, and high-altitude trekking (if applicable).

  • Proof of insurance may be requested before the trip begins.


4. Health & Fitness

  • Participants should be in good physical condition for trekking and adventure activities.

  • It is the client’s responsibility to consult a doctor before traveling to high-altitude regions.

  • Any pre-existing medical conditions must be disclosed to Ice Cap Adventure.


5. Risks & Liabilities

  • Trekking and mountaineering involve inherent risks such as altitude sickness, weather changes, landslides, or natural disasters.

  • Ice Cap Adventure is not responsible for injuries, accidents, or unforeseen circumstances beyond our control.

  • We will always prioritize safety and may adjust itineraries if necessary.


6. Trip Itinerary & Changes

  • Itineraries may be modified due to weather, flight delays, political issues, or local conditions.

  • Ice Cap Adventure reserves the right to make necessary adjustments in the best interest of safety and trip success.


7. Passport, Visa & Permits

  • Clients are responsible for obtaining a valid passport, visa, and required permits.

  • Ice Cap Adventure assists with trekking permits and related paperwork as part of trip arrangements.


8. Client Responsibility

  • Clients must respect local customs, culture, and the environment.

  • Responsible tourism practices, including waste management and respect for wildlife, are encouraged.

  • Clients are expected to follow the instructions of guides and staff at all times.


9. Complaints

  • If you have any complaints during the trip, please inform your guide or contact our office immediately.

  • We will do our best to resolve issues promptly.


10. Governing Law

  • These Terms & Conditions are governed by the laws of Nepal.

  • Any disputes shall be settled in the courts of Kathmandu, Nepal.
